Company email

Released 9 October 2026. Your organisation can now have real email addresses on its own domain — name@yourcompany.ro — sent and received inside Syntra, with no separate mail subscription.

What is included

Addresses on your own domain. Add a domain under Email Domains and publish the four DNS records shown; we verify them and keep checking. If you would rather not touch DNS yet, a Syntra subdomain works immediately.

An address for each colleague. Assign one from a member's card. It is a real mailbox — it sends and receives outside Syntra like any other.

Shared team addresses. An address like contact@ or office@ belongs to the company rather than to one person, and several colleagues can open it at once. Replies go out as the team address. Access is granted and revoked per colleague, and a change still settling shows as "Granted — not yet active" or "Revoking…" so you can tell it from a finished one.

Read it where you work. Mail sits beside your vehicles, trips and documents. The sidebar lists your addresses with unread counts, Junk is visible, and marking something "Not spam" both moves it and corrects future filtering.

Or on a phone. Each person sets up their own device from the Mail screen — a configuration profile on iPhone, an app password for Android and desktop mail apps. Administrators cannot create these for someone else, by design.

How to switch it on

Email is enabled per organisation. An administrator turns on the Company Email feature under Admin → Features, and Mail and Email Domains then appear in the menu. Open the Mail page before it is enabled and it says so plainly — that is not an error, and no mail is affected.

Adding a domain takes a few minutes of DNS work and then a short wait for the records to propagate. Giving colleagues addresses, and sharing one between them, takes seconds.

Who can change what

Fleet administrators, fleet managers and workshop managers manage addresses and domains. Granting or revoking access to a shared address is fleet-administrator only — managers can see who has access but are not offered the controls.

Worth knowing

• A shared address cannot be added to a phone. Mail sent from a phone goes out under the person's own address, so a reply as the team is sent from inside Syntra.
• Suspending an address keeps everything in it; deleting one removes its contents permanently.
